Privacy Policy

Last updated: 22 September 2026. This policy explains how Imperial Grass Limited (“we”) handles personal data collected through our website. It is provided for transparency and is not a substitute for legal advice.

    1. Who we are

    Imperial Grass Limited, registered office: 167-169 Great Portland Street, 5th Floor, London, England, W1W 5PF. Contact: info@imperialgrass.co.uk · 020 8432 9969.

    2. What we collect

    • Contact details you submit via our quote forms (name, email, phone, postcode).
    • Optional garden details (approximate size, photos, whether pets use the grass).
    • Marketing attribution data (UTM parameters, Google click identifiers such as gclid, gbraid and wbraid, fbclid, referrer).
    • Basic session information (device, browser, language, timezone, IP address).
    • Advertising cookies from Meta (_fbp, _fbc) when you accept cookies.

    3. Why we use it

To respond to your enquiry, produce a quote, deliver installation and maintenance services, and measure the effectiveness of our advertising campaigns. Lawful bases: contract, legitimate interests, and — for advertising cookies and Meta Conversions API events — your consent.

    4. Meta Pixel and Conversions API

With your consent (via our cookie banner), we send a small server-to-server “Lead” event to Meta after you successfully submit a quote form. This helps us measure and improve our advertising on Facebook and Instagram.

    • Data categories sent: email, phone, first name, surname, postcode and country (all hashed with SHA-256 before transmission, per Meta’s specification — hashing is pseudonymisation, not anonymisation), plus your IP address, user agent and Meta’s _fbp/_fbc cookies when present.
    • Purpose: advertising measurement, attribution and optimisation.
    • Recipient: Meta Platforms Ireland Limited.
    • Retention: as per Meta’s advertiser terms; we retain the underlying enquiry data for up to 24 months.
    • Withdraw consent at any time by clicking “Decline” in the cookie banner or by clearing your cookie-consent browser storage entry. After withdrawal, we stop sending explicit Lead events from this site.

Note: our site also loads Google Tag Manager, which may include third-party pixels configured by our partners. We do not unilaterally control every tag inside the GTM container; where possible we honour your consent choice for advertising and measurement.

    5. Sharing sales outcomes with Meta and Google Ads (optional, separate consent)

If you accept the advertising and measurement option in our consent banner, we may also share what happens after your enquiry with Meta and with Google Ads, so we can measure which adverts lead to real work. This consent is versioned: accepting an earlier cookie banner or an earlier version of this disclosure does not grant it, and if we change this disclosure we ask you again.

    • Lead — you submitted an enquiry through this website.
    • QualifiedLead — your enquiry is a genuine service opportunity for us. This is not an assessment of your budget or finances.
    • QuoteSent — we sent you a written quotation. No revenue figure is shared with this event, and a quotation is not paid revenue.
    • BookedJob — a job was agreed, shared with the agreed contract value in GBP. This is the agreed contract value, not paid revenue or profit.
    • Matching data for these outcome events: your email and phone, hashed with SHA-256 before transmission, plus the advertising identifiers permitted for this purpose — Meta’s_fbp, _fbc and fbclid, and Google Ads click identifiers (gclid, gbraid, wbraid) — together with our own event identifier, the outcome type and the time it happened. The original Lead event described in section 4 may include the further matching fields listed there, where applicable.
    • We never share payment card details, bank details or any other payment data, and we do not report paid revenue.
    • If you decline, Google Ads click identifiers are removed from everything we forward, including copies held in page addresses. Ordinary campaign parameters (UTM tags) are still used for our own internal reporting.

Hashing is pseudonymisation, not anonymisation: hashed values can still be matched to a person by Meta or Google, so this data remains personal data and is only shared with your consent.

You can change your choice at any time using the Cookie settings link in the footer. Changing it in your browser stops future submissions from being shared. It does not automatically withdraw an enquiry you already sent — to withdraw an existing enquiry, email info@imperialgrass.co.uk and we will action it manually.

Declining is free of consequence: our service, quotation and pricing are exactly the same either way.

    6. Our Google Ads account connection (FieldFlow)

We use FieldFlow, our customer management system, to send these outcome events to Google Ads. An administrator of our Google account grants FieldFlow access to the Google Data Manager API for the purpose of sending conversion data. The resulting access tokens are stored securely on the server side, are never shared with website visitors or exposed in this website, and the connection can be disconnected at any time from within FieldFlow.

    7. Your rights

You have the right to access, correct, delete or object to the processing of your personal data, and to lodge a complaint with the ICO (ico.org.uk). To exercise these rights, email info@imperialgrass.co.uk.

    8. Retention

We keep enquiry data for up to 24 months, and installation records for the duration of your warranty. Advertising cookies expire according to Meta’s and Google’s defaults.

    9. Changes

We may update this policy from time to time. Material changes will be reflected on this page.
